Privacy Policy

Last updated: July 5, 2026

This Privacy Policy explains how Producer Portal ("we", "us") collects, uses, and protects your information when you use our Service.

1. Information We Collect

Account information: When you sign up, we collect your email address and (if applicable) your Google account name and ID. We store a hashed version of your password — we never store your password in plain text.

Usage data: We log your upload history (video title, YouTube video ID, upload date, privacy setting) for billing and account purposes.

YouTube data: If you connect your YouTube channel, we access and store certain data from your Google account via YouTube API Services, as described in Section 4 below.

Billing data: Payments are processed by Stripe. We store your Stripe customer ID and subscription status. We never see or store your full card number — Stripe handles all payment data.

Content you submit: Audio files, images, and video clips you upload are stored temporarily to process your upload and are not shared with third parties.

2. How We Use Your Information

  • To provide, operate, and improve the Service.
  • To authenticate you and maintain your session.
  • To process payments and manage your subscription.
  • To generate AI metadata using your vibe description and channel samples.
  • To enforce usage limits based on your subscription plan.
  • To respond to support requests.

3. Third-Party Services

We use the following third-party services, each of which has its own privacy policy:

  • Anthropic — processes your vibe description and channel samples to generate YouTube metadata. Anthropic does not use data sent through its API to train AI models, and we do not use Google user data to develop, improve, or train any AI/ML models.
  • Google / YouTube — used for YouTube uploads, thumbnail setting, and channel data. Governed by Google's Privacy Policy.
  • Stripe — handles all payment processing. Governed by Stripe's Privacy Policy.
  • Brave Search / SerpAPI — used to search for thumbnail images based on your query.
  • Railway — hosts the application and database infrastructure.

4. Google API Services & YouTube Data

Producer Portal uses YouTube API Services to provide its core functionality. By connecting your YouTube channel to Producer Portal, you are also agreeing to be bound by the YouTube Terms of Service. Google's handling of your data is described in the Google Privacy Policy.

Producer Portal's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

What Google user data we access and store:

  • OAuth tokens — we store the access and refresh tokens Google issues so we can upload videos, set thumbnails, and read analytics on your behalf. Tokens are stored encrypted in transit (HTTPS) and never shared with third parties.
  • Basic profile information — your Google account email address and name, used to create and identify your Producer Portal account.
  • Channel video samples — the titles, descriptions, and tags of recent videos on your channel, stored so the AI can match your channel's style when generating metadata. Stored samples are automatically refreshed or deleted after 30 days.
  • Video and analytics data — view counts, subscriber changes, and related statistics for your videos, fetched on demand when you open your dashboard. Analytics data is not stored long-term (it is cached in memory for at most a few hours).
  • Upload records — the YouTube video ID, title, and upload date of videos you publish through the Service, retained as your upload history while your account is active.

How we use it: solely to provide the Service to you — uploading your videos, setting thumbnails, editing metadata you ask us to change, matching your channel's style, and showing you your own analytics. We do not sell Google user data, use it for advertising, or share it with any third party except as required to provide the Service (see Section 3). Human access to this data is limited to what is necessary for security, support you request, or compliance with law.

Revoking access: you can disconnect your YouTube channel at any time from your Producer Portal settings, which deletes your stored tokens and channel samples. You can also revoke Producer Portal's access directly from your Google account at https://myaccount.google.com/permissions (Google security settings). To request deletion of all your stored data, delete your account in settings or contact support@producerportal.io.

5. Data Retention

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law or for legitimate business purposes (such as billing records).

Uploaded audio, video, and image files are stored temporarily during processing. We do not guarantee long-term storage of these files — they may be deleted periodically.

6. Data Security

We take reasonable measures to protect your data, including encrypted connections (HTTPS), hashed passwords, and access controls. However, no system is perfectly secure. We cannot guarantee absolute security of your information.

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us at support@producerportal.io. You can disconnect your YouTube account at any time from within the app.

8. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided personal information, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by a notice in the app. Continued use of the Service after changes constitutes acceptance of the updated policy.
